Read and Understood fully automates the process of sending Reading Acknowledgement Requests for new and/or updated documents, allowing SharePoint content editors to focus solely on maintaining the documents.

Installation

When first installed, Read and Understood operates in a trial/evaluation, mode allowing the documents to be processed on-demand in real-time, accelerating the evaluation of the end-to-end Acknowledgement process.

How Read and Understood Works

Documents updated/created will be processed for Reading Acknowledgement Requests at start of working day (based on SharePoint Regional settings) or at midnight.

Simple rules are created to define the documents for which employees are sent Reading Acknowledgement Requests.

Rules Define:

• Selection of Documents: Any combination of document, library, folder, site, or content type.
• Recipients: Employees will receive Reading Acknowledgement Requests using SharePoint groups, Entra ID groups (security and 365), and/or Entra ID users.
• Completion Period: The period, in days, over which a Reading Acknowledgement Request must be completed.
• Reminder Frequency: The frequency, in days, after which to send a Reading Acknowledgement Request to employees who have not acknowledged reading.
• Customizable Email Templates: Fully customizable templates that include embedding of SharePoint document column values.
