Cogram Email Management

Cogram Email Management is an Outlook add-in built for architecture, engineering, and construction teams who want every project email in one secure place. Each time you send or receive a message, the add-in uses AI to determine which project it belongs to and files the email—and its attachments—directly into the correct project archive without interrupting your workflow.

Smart Alerts & Automatic Filing: When composing emails, you can select which Cogram projects should receive copies. The add-in uses Smart Alerts functionality to automatically detect when you send emails and pre-files them to your selected projects. This LaunchEvents feature accesses email metadata (subject line and recipient addresses, but not email content) to organize outgoing messages seamlessly. Smart Alerts operate in the background without blocking or delaying email delivery, ensuring your workflow remains uninterrupted while keeping project communications organized.

If a message lands in the wrong project or needs to appear in several, simply open the pane, choose another destination, and re-file it. All stored emails are fully indexed, making them searchable by keyword, sender, date, or attachment name and content.

The add-in works in Outlook on Windows, macOS, and the web. It requires no changes to Microsoft 365 and respects the project-level access permissions already configured in your Cogram environment, ensuring sensitive information stays accessible only to the right people.
